An auto-reply is not a time-off request

Setting an out-of-office message tells people you're away. It does not record the absence anywhere, does not deduct anything from your leave balance, and does not tell your manager. Those are separate steps, and forgetting the second one is the single most common reason leave balances drift out of sync with reality by year end.

Out of office message FAQs

What should an out of office message include?
Four things: the dates you're away, when you'll respond, who to contact if it's urgent with their actual email address, and a short sign-off. Everything else is optional. Leave out the reason for your absence and any personal travel detail, especially on an address external senders can reach.
What is the difference between OOO and PTO?
OOO means out of office — you're away and unavailable. PTO means paid time off — leave deducted from your balance that your employer pays you for. Most PTO days are also OOO days, but a conference or client visit is OOO without being PTO, because you're still working. Setting an auto-reply never deducts anything from your leave balance; only an approved time-off request does that.
Should I say why I'm out of the office?
Rarely. "On annual leave" or "out of the office" is enough for almost every situation. For sick leave in particular, describing a medical condition to external senders is unnecessary and can create ADA complications for your employer. Keep the reason vague and the logistics specific.
How long should an out of office message be?
Three to four short lines. Senders scan these — they want the return date and the alternative contact, and long messages bury both. Formal industries can justify a slightly longer version, but nobody has ever complained that an auto-reply was too brief.
Should I say I'll check email occasionally?
Only if you actually will. Promising intermittent access and then not delivering is worse than saying you're unreachable, because senders wait instead of contacting your backup. If you're genuinely off, say so plainly and name someone who can help.
What do you do with the email of someone who has left?
Set an auto-reply on their leaving day naming a specific successor and address, and keep it running for at least 90 days — a year for client-facing roles. The common failure is redirecting to a shared mailbox nobody owns, which quietly loses enquiries for months.
