What Does OOO Mean?

OOO stands for "out of office." It is workplace shorthand meaning someone is away from work and not available — used in calendars, chat statuses, and automatic email replies. OOO describes your availability, not your pay: you can be OOO because you are on paid leave, travelling for work, at a conference, or off sick.

How OOO Is Used at Work

  • 1The employee blocks the dates in the shared calendar, usually marked "OOO" so colleagues can see they are unavailable.
  • 2They set an automatic email reply giving the dates, a contact for urgent matters, and when they will respond.

OOO vs PTO: What's the Difference?

PTO is an accounting term and OOO is a communication term, which is why the two are not interchangeable. PTO means paid time off — leave you have earned, that comes out of a balance, and that your employer pays you for. OOO means out of office — you are simply not at work today. Every PTO day is usually also an OOO day, but plenty of OOO days are not PTO: a sales rep at a client site, an engineer at a conference, or someone working from a different timezone is out of office while still on the clock and still being paid normally. The practical consequence is that marking yourself OOO in a calendar does not deduct anything from your leave balance — only an approved time-off request does that, and forgetting the second step is the most common cause of leave balances drifting out of sync.
