PTO Accrual means that employees earn their Paid Time Off gradually over time, rather than receiving it all at once. For example, instead of getting 10 vacation days on January 1st, an employee might 'accrue' (earn) 3.08 hours of leave every bi-weekly paycheck. This system protects businesses from paying out unearned time and helps employees build up a 'bank' of hours to use later.
To 'accrue' means to accumulate or receive over time. In the context of payroll, an accrual policy adds a small fraction of vacation time to an employee's balance for every hour they work or every pay period that passes.
"Front-loading gives 100% of days on day one (high risk for employer). Accrual distributes those days evenly across the year (safer, fairer)."
The process generally follows a standard cycle in most payroll systems.
HR determines an 'accrual rate'. For a standard 2-week vacation policy, this rate is usually around 0.0385 hours earned per hour worked.
Every pay period, the calculated hours are added to the employee's PTO balance shown on their pay stub.
When an employee takes a day off, 8 hours are subtracted from this accrued bank. If the balance hits zero, they cannot take paid leave until they earn more.
| Factor | Accrual System | Lump Sum (Front-Load) |
|---|---|---|
| Availability | Gradual (Earn as you seek) | Immediate (All at once) |
| New Hires | Starts accumulating immediately | Often requires a waiting period |
| Termination | Company only pays out what was earned | Risk of 'clawback' if overused |
| Flexibility | Medium | High |
Almost exclusively use accruals based on hours worked to ensure part-time staff don't get full-time benefits unfairly.
Often use accruals but allow 'negative balances' (borrowing against future accruals) for flexibility.
To prevent employees from hoarding months of vacation time (which becomes a financial liability), companies set a 'Cap' or limit. Once an employee's bank hits this limit (e.g., 200 hours), they stop accruing new time until they use some days. This encourages staff to actually take a break.
Convert your annual days off into an hourly accrual rate.
It depends on your state and company policy. In 'Use it or Lose it' states, you lose unused hours at year-end. In other states like California, accrued PTO is your property and never expires.
Typically, no. Most policies state that you only accrue PTO on 'hours worked'. If you are on unpaid leave or FMLA, your accrual usually pauses.
Some companies have a 90-day probationary period where you accrue time, but are not allowed to use it until you pass the 3-month mark.
